Exit Policy is a set of organizational rules, procedures, and guidelines that define how employee separation is managed when an employee resigns, retires, is terminated, or otherwise leaves the organization. It establishes the expected process, responsibilities, timelines, approvals, and requirements for completing an employee's exit.

In an HRMS, an Exit Policy can be used to standardize separation and offboarding activities such as resignation submission, notice period management, exit approvals, handover, exit interviews, asset return, department clearance, final settlement, document processing, and access deactivation. Organizations can configure workflows according to their internal policies and applicable requirements.

A well-defined Exit Policy improves consistency, transparency, accountability, employee offboarding, record management, and operational control. It helps HR and managers follow a standardized exit process, track pending activities, coordinate with departments, and maintain appropriate employee separation records.

In CLMS (Contract Labour Management System), exit policies can also define procedures for releasing contract workers from assignments or sites. These may include contractor confirmation, attendance verification, asset or equipment return, documentation, pending payment checks, access closure, and completion of workforce clearance activities.
