Deactivation

Deactivation refers to the process of temporarily or permanently disabling an employee, contractor, user account, access credential, or workforce record so that it is no longer active within an organization's system or operational process. Deactivation is different from deletion because the record and its historical information may be retained for reference, reporting, audit, or compliance purposes.

In an HRMS or CLMS, Deactivation can be used when an employee or contractor leaves the organization, a user account is no longer required, access needs to be suspended, or a workforce record becomes inactive. The process may include disabling system access, updating employment status, stopping applicable workflow access, and retaining relevant historical records.

Effective deactivation management helps organizations control system access, maintain accurate workforce records, protect organizational data, and support audit and compliance requirements.
